• Position Administrative Assistant ( Production Support),
Main responsibilities are as follows:
1 Coordination, control and planning of travels, accommodations :
• Interfacing with Travels department and company contractors (agencies, travel companies) in preparation and processing of travel requests, accommodations in the hotels, booking of tickets for PrD Support team.
• Interfacing with assets, departments and Company representatives in case of unfavorable weather conditions for operative planning of transportation alternatives from the place of departure to the place of arrival and back.
2 Coordination, control and planning of visa process for issuance and renewal of visas and Work permits:
• Control the quality in formalization of the required documentation and documentation packages so as to provide the employees, family members and visitors with the required documents for legal staying in the Russian Federation:
• Letters of invitation, multi-entry visas (renewal of visas), work permits.
• Passes for foreign-flag vessels (for Russian Nationals and expatriate employees)
• Coordinate development of plan/schedule of actions and strategies in the renewal of multi-entry visas for department employees. Notifications to line manager on changes in the visa/work permit procedures.
• Interface with SEIC Visa department so as to obtain information required to ensure legal status for expatriate employees of department.
• Notifications to the department employees on changes in the visa/work permit procedures and status of their documents.
3. Coordination and control of training process:
• Act as a link between training department and employees during arrangement and conduction of scheduled trainings for PrD Support team.
• Coordinate employees’ travel to locations of scheduled trainings:
- Arrange/coordinate travels, booking of tickets and hotel accommodations;
- Assistance in preparation of the required documents (Orders, advance payments and BER, policies, visas, etc.)
4. Work with SAP data base:
• Technical confirmation of services provided by SAP contractors.
• Create cost/purchase codes for Production directorate in the SAP system;
• PO; PR; WO creation
5. Other responsibilities:
• To manage Production Operations Manager’s agenda, MS Outlook calendar and travel plans
• To coordinate and organize meetings and events on Sakhalin island including VIP visits, visits to contractors, videoconferences, teleconferences, workshops, ad-hoc meetings, team building events, etc.
• To provide technical, administrative and organizational support to the Assets organization, e.g. prepare presentations, binding and reproduction of materials, formatting documents to company standards, drafting of letters
• Collation of materials, preparation and formatting of papers to company standard and slide production, drafting and typing letters, maintaining stationary stocks, setting up and managing filing system
• To organize and facilitate team and departmental workshops and events
• To organize and facilitate meetings, e.g. set agenda, arrange logistics and IT support, coordinate of pre-reading materials
• To arrange administrative and IT logistics for newcomers, e.g. organize work space, request IT equipment, entry pass and business cards, introduce working procedures
• To arrange procurement and distribution of promotional items for external customers
• Assist department’s employees in preparation of BER, scheduling of vacations, business trips, including trips of department employees to the platforms, OPF, LNG;
• Assist department’s employees in their fulfilment of the Company’s non-technical policies and procedures. Act as a link with an HR Business Partner.
• Ensure proper storage of all documentation related to the expatriate and Russian personnel of marine assets, family members and office employees;
• Maintain and updаtеthe department office spaces distribution plan;
• Arrange employment/dismissal of employees.
• Collection and submission vacation plan for PrD Support team.

• Position Logistics Coordinator (Shutdown & Campaign Maintenance),
Main responsibilities are as follows:
1. Coordination, control and planning of travels, accommodations :
• Interfacing with Travels department and company contractors (agencies, travel companies) in preparation and processing of travel requests, accommodations in the hotels, booking of tickets for SD Team.
• Interfacing with assets, departments and Company representatives in case of unfavorable weather conditions for operative planning of transportation alternatives from the place of departure to the place of arrival and back.
• Meetings participation on planning of arrivals/departures on platforms. To updаtеplan in time.
• Planning trips to/from the platforms with assistance platform coordinators. To submit list of participants in time. (IAP Planners)
• Coordination and organization of travel arrangements for of engineers to/from platforms.
2. Visa process _ Support for Vendors ( Mokveld, Shell…)
• To collect and prepare documents for visa department
• Collect and prepare documents for LOI
• Quality control
• Liaison with (TA Coordinators) to determine vendors
3. Work with SAP data base:
